How to Reactivate a Cold Email List: 1 Email, 14 Replies, $2,100

By  Csaba Borzasi

Don’t blast a cold list with offers, and skip the “click here or you’ll be removed” email. Send one short, plain email that sounds like you, gives people a new reason to care and asks for a reply instead of a click. A coach with 800 subscribers he hadn’t emailed in 7 months sent a few lines like that: 14 replies in 24 hours, and one of them turned into a $2,100 coaching package.

I know this one from the inside, by the way.

I once went almost 4 months without emailing 2,500 subscribers…

(not my proudest moment)

So everything below comes from getting it wrong first.

What happens when you ghost your list?

I still remember the exact moment I realized I’d ghosted my email list.

It was 3 AM…

And I was sitting alone in the glow of my laptop…

Mindlessly clicking through tabs, while avoiding sleep.

One of those tabs was my email marketing account – something I avoided looking at for longer than I cared to admit.

When I finally clicked through, the date of the last email I’d sent stared back at me, clear and unmistakable.

Four months of radio silence.

Four months of completely ignoring people who’d trusted me enough to subscribe and look forward to receiving my email.

As soon as I saw that, I got this twisting sensation in my stomach.

(you know… the kind you get when you’ve let something important slip through your fingers and know there’s no easy way to make it right)

Honestly, I felt like shit.

And the worst part?

I had absolutely no idea how to come back from it!

“How do you break silence after that long without it feeling weird, awkward, or forced?”, I thought to myself.

At that time, it felt like an insurmountable problem…

And if you’ve ever ghosted your email list (or felt guilty for neglecting it), you know exactly what I’m talking about.

That hot wave of shame

I remember staring at the screen, feeling that hot wave of SHAME.

These subscribers had once signed up because they trusted me.

They’d liked something I’d offered, or something I’d said, or some story I’d shared….

And they trusted me enough to give me their email addresses and attention.

And then…

…I just disappeared.

No warning.

No explanation.

Just radio silence.

For months!

Looking back, I didn’t even know how it had happened.

Life got busy, I guess.

I got distracted.

One week without emailing turned into three weeks…

Three weeks turned into two months…

And soon enough, it felt impossible to send anything without feeling awkward!

Timeline: how an email list goes cold – 1 week, 3 weeks, 2 months, almost 4 months without emailing

“What if they don’t care anymore?”

“What if they’ve forgotten me completely?”

“What if they unsubscribe immediately, and this entire thing was just a huge waste?”

^ ^ Those were all questions I kept asking myself.

Maybe you know exactly how this feels.

BUT…

The hardest realization of all wasn’t even the silence…

It was what the silence represented:

Lost opportunity.

Lost connection.

And, honestly, lost income.

After a while, I finally decided that enough was enough.

It was time to own up.

To stop making excuses, stop feeling embarrassed, and just… reconnect.

Problem was, I had no clue how 🤔

I mean…

How do you restart a conversation after MONTHS of awkward silence… without making it even more awkward?

How do you rebuild trust when you’re the one who broke it?

After a few hours of deliberation, I decided to try something simple & elegant:

A carefully structured series of emails specifically designed to reactivate a cold, neglected email list.

It wasn’t flashy or clever…

It wasn’t some intricate funnel…

It was just the (hopefully) right message, at the right time, in the right order:

Something that was emotionally honest, strategically clear, and refreshingly… human.

I hit “Send,” bracing myself for unsubscribes, complaints, or (worse) silence…

But (almost) miraculously, the exact opposite happened!

I started getting replies!

Thoughtful replies, engaged replies.

People saying things like:

“Hey Csaba, great to hear from you again! I missed your emails.”

“Glad you’re back. I wondered where you went!”

“Honestly, I thought you quit, but I’m happy you’re still here.”

Within days, that cold list was warm again.

Within 2 weeks, it was profitable again.

And I finally felt like I was back, baby! 😁

Look…

If you’ve ever been in this situation, I know exactly how it feels.

And I also know how HARD it can be to break the wheel the cycle of emotional procrastination around it.

But here’s the thing…

The way most people finally break that silence makes everything worse.

Why does blasting a cold list backfire?

If you use email marketing in your business in any way, you probably know email deliverability is important.

If you neglect it, mailbox providers won’t deliver your emails to your subscribers’ primary inbox…

Might categorize them as spam…

Or worse: might not even deliver them in the first place!

Not good.

So that’s why it’s CRITICAL to make sure your email deliverability is taken care of.

Now…

There are many ways to butcher your email deliverability score…

But arguably one of the EASIEST ways is to suddenly send a bunch of emails to a large, cold segment of your list.

(Or if your entire list is cold, then to all of them)

That’s one of the worst things you could do.

Why?

Because mailbox providers (Gmail, Yahoo, Outlook, etc) absolutely HATE this.

Just think about it for a second from their own perspective.

What’s the #1 goal of mailbox providers?

To make sure their users have a good user experience.

(so that they keep using their products)

And what do most people experience when they suddenly get bombarded by a bunch of (usually sales) emails from a sender they don’t even remember they signed up to some time in the past?

That’s right:

Annoyance and Frustration.

And what happens when those people get annoyed and/or frustrated?

They get pissed off at you AND the mailbox providers for not filtering these emails better!

That’s also when they often mark emails as spam.

Again, not good for you as an email marketer.

Unfortunately, most people with a list completely neglect this…

And they go on, suddenly blasting out sales emails left and right to their unengaged audience!

(The one they neglected to nurture for quite some time)

The result?

Not pretty 🙈

Because not only will they NOT see results from this…

They’ll also damage their “Email reputation” and “Email sender score” – BIG time!

So don’t do this, please.

It’s not the way to go.

What happens when you blast a cold email list: annoyed readers, spam complaints, lower sender reputation, emails landing in spam

Should you still email a cold list?

Now look…

I’m NOT saying you shouldn’t try to re-engage your cold list (or a cold segment of your list).

Far from it.

I think that can be a great way to breathe some new life into your stale list…

And pull out people who ARE still interested in whatever you offer.

BUT…

…And this is important…

You have to do it ELEGANTLY… and carefully.

You can’t just suddenly blast people, asking them for their money.

That’s like suddenly pitching sex to an old crush you had a brief fling with years ago!

Do you think they’d appreciate it?

Or is it more likely they’d look at you like a creep and block you? 😅

Yeah…

Same thing with the people on your list.

→ You want to treat them like REAL-life, “flesh & blood” people (instead of just names in your CRM)

→ You want to re-establish the relationship with them in an elegant, non-aggressive way.

→ And you want to make sure you’re coming from a place of abundance – instead of trying to “take” from them all of a sudden.

So, how do you do that?

Well…

Lots of people teach “email re-engagement sequences” as a solution to this problem…

But that’s NOT an optimal solution!

There are multiple reasons why…

But the TL/DR is this:

Using those typical strategies, there’s no REAL incentive for people to respond to you.

Sure…

Passive-aggressively “threatening” them with removal from your list if they don’t click a special link can technically re-activate some people…

But it’s gonna be a very, VERY small percentage…

And even IF they temporarily do something, they’ll just keep ignoring you right after that.

So what to do instead?

Simple:

Give them NEW HOPE!

Something that taps into their current pain points & beliefs…

And gives them a REAL incentive to do something.

That’s what you want…

Because that’s a much more powerful strategy.

Can a reactivation email land you in spam?

Oh yes.

A while back, a coach I was working with launched a reactivation campaign to her list of 3,100 people.

It was her first email in almost a year.

She had high hopes.

She’d used a polished template…

Double-checked her grammar…

Even scheduled it for “optimal send time.”

Then…

NOTHING.

Abysmal opens…

No replies…

A few unsubscribes…

And worse – she got flagged for spam.

Not once…

Not twice…

But NINE times!

(ouch)

A reactivation email to 3,100 people that got flagged as spam 9 times

When we looked under the hood, we found the problem fast.

It wasn’t her list…

It wasn’t her copy…

It wasn’t even that she waited too long.

The real problem?

Her reactivation campaign triggered all the wrong filters!

Her subject line screamed “promo”…

Her copy used language that hit common spam triggers…

And her call to action looked like something from a used car ad.

And just like that, a reactivation attempt meant to bring her list back to life started quietly killing her deliverability instead :(

THIS is what almost no one talks about.

You’re told to “send something personal”…

Or “just provide value”…

Or “follow up with your list every 30 days”…

…which is all nice and good…

But if your email doesn’t land in the inbox, then NONE of that matters!

You could write the most persuasive email of your life…

But if your domain reputation is shot, it’ll sit unopened in the spam folder…

…right next to “Hot crypto deals” and cringy “I hope this email finds you well” emails from Nigerian princes.

(or worse, your emails might not even get delivered in the first place)

But the worst part?

Most people don’t even realize this is happening in the background!

They think their list just… doesn’t care.

But what’s actually going on?

Their emails aren’t even being seen.

That’s why fixing this problem starts with prevention.

To be successful, you need to know what NOT to do.

You need to know how to send emails that are structured to stay clear of deliverability traps.

And you need to protect your reputation… before it costs you your audience.

What should your first email back actually say?

A while back, I got a message from a coach who said:

“I’ve got a list of 800 people. I haven’t emailed them in 7 months. Every time I try to write something, I freeze. I just don’t want to screw it up.”

After a brief conversation, I convinced him to try something new.

He finally agreed.

Then, he used one of the templates from my Rapid List (Re)Activator training and hit send.

(there’s a free AI version of it now too… more on that below)

24 hours later, he had 14 replies.

And one of them turned into a $2,100 coaching package!

One plain reactivation email to 800 subscribers: 14 replies in 24 hours and a $2,100 coaching package

All he did was personalize a few lines…

And send an email that didn’t sound like a “campaign”… it sounded like him.

Just like that, he was back in control.

His list started warming up.

He reconnected with people he thought he’d lost.

And he was selling again – without ads, without a funnel, without burning out.

That’s the kind of WIN most list owners don’t know is sitting right under their nose….

Because here’s the truth:

If you’ve been collecting subscribers – even if they’ve gone cold…

You’re sitting on dormant revenue.

(sometimes a literal goldmine!)

However…

Most people never get that revenue back.

They either:

A – Don’t even try (which is the worst thing they can do)

or

B – Try to re-activate their cold list with more “noise”

They think the solution is to show up harder.

To add more value in order to rebuild trust.

Usually, both paths lead to the same inevitable conclusion:

People eventually give up.

Meanwhile, their list keeps growing colder…

Costing them money every month…

Becoming just one more thing that nags at them every time they open their Kit, ActiveCampaign, or MailerLite account.

And their confidence keeps slipping… deeper and deeper.

Look…

You CAN win back some of that dormant revenue…

But you have to do it the right way.

The thing is…

Your cold list doesn’t need another complex nurture sequence or funnel.

It just needs a jolt.

A clear, psychology-based message that snaps people out of scroll mode and makes them say: “Wait… what is this?”

That’s exactly what the coach sent.

Just a few lines rooted in curiosity…

With a subtle shift in framing that made his subscribers feel like he was speaking directly to them.

And they wrote back!

Some with questions…

Some wanting to learn more…

And some wanting to have a conversation that led to a call (and sales!)

Isn’t that what we’re all after?

Does this work on year-old leads?

I once got this email from a subscriber named Danielle…

And I’ve gotta tell you, it made my day… typos, emojis, and all :)

Here’s exactly what she sent me (copy-pasted straight from my inbox):

“Hi Casba

I love 💛 your emails. I’ve used your strategy finally after having downloaded your lead activator book over 6 months ago – I think 🤔.

Anyway I was totally ignoring my leads that were searching for solutions and finally launched a nurturing campaign with an email funnel based on your style.

Wow 🤯 yesterday I actually set 2 appointments from old leads 1 over 1 year old who reached out to me after an email in my new Casaba nurturing campaign.

This stuff works. I’ll keep you posted but thank you for showing me how to be real and connect build trust and enjoy writing again.

Keep inspiring confidence 🙏

Danielle 🌻”

Danielle, subscriber

OK, first things first:

She spelled my name wrong – TWICE!

(“Casba”… and then “Casaba”… you’re killing me, Danielle! 🤣)

But honestly?

It just made her email feel even more authentic…

More relatable…

More…… Real.

(Maybe that’s the best “this email wasn’t written by AI” takeaway nowadays?!)

In any case, here’s the deeper part most people don’t see:

Danielle had been sitting on my stuff for more than 6 months!

(^ ^ her words, not mine)

She probably felt overwhelmed…

Guilty…

Or even convinced it was “too late” to restart emailing those neglected leads.

I’ve been there. Maybe you’ve been there, too.

That anxiety when you feel like you’ve waited too long…

That sinking feeling that your subscribers don’t care anymore…

That silent fear of “preemptive rejection” every time you think about sending another email.

Not gonna lie, having to deal with those feelings sucks!

But Danielle finally got past them.

She took action…

(even though it was “imperfect action”)

And what happened next?

She booked 2 client appointments immediately!

(From leads she’d basically written off as dead)

That’s what actually matters here:

Danielle didn’t have a perfect funnel or flawless writing…

She just knew exactly what to say, how to say it, and when to say it to people she’d neglected for months.

And it worked better than she imagined!

So if you’re feeling embarrassed about ghosting your email list…

If you’re worried your subscribers are gone for good…

Or if you’ve convinced yourself your cold list will never buy again…

…then STOP IT.

Your list isn’t dead… it’s “dormant”.

Those people are waiting to be revived by the right message.

How do you reactivate a cold email list this week?

Here’s the short version of everything above:

1. Don’t email the whole cold list at once.

Start with a slice of it. A smaller first send keeps spam complaints low… and keeps Gmail on your side.

2. Make the first email plain, personal and link-free.

No design, no button, no pitch. Just you, a few lines, and a question worth answering.

(I’ve watched one plain, reply-based email beat 6 flashy HTML sequences.)

3. Skip the apology… and skip the threat.

No long “sorry I’ve been away” paragraph. No “click here or you’ll be removed.”

Give them a new reason to care instead – something tied to what they want right now.

4. Keep it un-promotional.

No subject line that screams “promo.” No spam-trigger words. No call to action that looks like it came from a used car ad.

5. Sell later.

Answer the replies first.

The offers go to the people who woke up… cold leads click more when you’re not trying to sell them anything yet.

(Simple… not always easy, I know.)

5 steps to reactivate a cold email list this week

And once your list is awake again, keep it that way.

The easiest time to stop a list from going cold is the day someone joins it. That’s the whole job of my Profitable Imprinting Sequence – the welcome sequence I use to start every new subscriber relationship on the right foot.

Your subscribers haven’t abandoned you.

They’re still out there… just waiting for you to show up in their inbox and say something worth replying to.
